The Hoffer Business Centre is a hub for professionals to come together in a like minded environment.
We are currently seeking a a front desk secretary to start immediately.
Business hours are Monday to Friday, 8:30 am – 5 pm with a half an hour for lunch.
Job Duties & Responsibilities:
- Greeting clients as they come in
- Creating a friendly atmosphere for the tenants and their clients
- Answering telephone inquiries
- Creating tenant invoices
- Receiving tenant payments
- Creating spreadsheets for payments & budget purposes
- Working together with bookkeeper with payables/receivables
- Ordering/buying office supplies
- Sorting/delivering incoming mail
- Preparing outgoing mail
- Booking boardroom for tenants
- Addressing a tenant's need or concern
- Keeping on top of the maintenance of office equipment
- Budget prep & creation/revision
- Making sure the building runs in a clean & orderly fashion
- Other general office duties
- Respectful, professional and a passion for service is an asset
- Previous office experience preferable but not required
- Keen attention to detail
- Verbal and written communication skills
- Ability to work efficiently and effectively
- Basic working knowledge of Google Drive/Calendar/Spreadsheets and email
- Basic working knowledge with a phone system, fax/copier machine, scanner
