Acting Executive Director (12-Month Term) Fredericton Community Kitchens Start Date: November 1, 2025 End Date: November 1, 2026 Salary: $70,000 – $75,000 (based on experience) About Fredericton Community Kitchens For over 40 years, Fredericton Community Kitchens has provided compassionate service and nutritious meals to those experiencing food insecurity in our community. We are a registered charity that relies on dedicated staff, volunteers, and community partners to carry out our mission of feeding the hungry in a safe, respectful, and supportive environment. To ensure organizational stability and continuity during the Executive Director’s upcoming maternity leave, the Acting Executive Director will be appointed for a 12-month period, from November 1, 2025, to November 1, 2026. This term is designed with a planned overlap at the commencement and conclusion to allow for effective onboarding, mentorship, and a comprehensive transition with the permanent Executive Director. The Acting ED will be responsible for maintaining the momentum of the organization, ensuring stability, and supporting staff, volunteers, the Board of Directors and community partners in alignment with our mission, vision, and values. Key Responsibilities Leadership & Staff Management • Facilitate and lead weekly management meetings. • Facilitate and lead monthly all-staff meetings. • Facilitate and lead monthly one-on-one meetings with each manager. • Facilitate and lead quarterly one-on-one meetings with each staff member. • Provide follow-up with action items and deadlines for staff members. • Mediate staff and guest conflicts in accordance with HR policies, consulting the HR Committee as required. • Manage all media requests for the organization in consultation with the President. • Collaborate with the Executive Director during transition periods at the beginning and end of the contract to ensure seamless continuity of leadership, programs, and organizational priorities. Safety, Compliance & Risk Management • Ensure the safety of all guests, staff, and volunteers at 65 Brunswick Street by reviewing incident reports and determining next steps in consultation with the Kitchen Manager, staff, and security. • Ensure the safety of all staff, and volunteers at Kim’s Kitchen (499 Cliffe St) by reviewing incident reports and determining next steps in consultation with the Program & Event Manager, staff, and security. • Maintain a process for incident reports and gradual escalation of restrictions to uphold the Code of Conduct. • Maintain open communication with property partners (The Shelters, the Resource Centre, Mental Health & Addictions, DTI, OSS etc.) to ensure a safe and secure environment. • Ensure compliance with WorkSafe NB requirements for workplace safety. • Ensure operations meet Food Banks Canada Standards of Excellence and the Ethical Food Banking Code. • Ensure all program delivery aligns with the organization’s letters of incorporation, mandate, and strategic plan. Governance & Board Relations • Prepare the board package with all relevant documents and information for each bi-monthly meeting. • Send the board package at least one week prior to board meetings. • Provide a monthly recap to the Board of Directors between meetings. • Prepare meeting agendas in consultation with the President. • Ensure the Annual General Meeting occurs before June 30th, is publicly advertised at least 4 weeks in advance, and follows By-Laws. • Lead and manage the Finance & Audit, Governance, Planning & Strategy, and Executive Committees in partnership with each committee’s board chair including scheduling, preparing agendas, sending out reminders and booking space for meetings. Financial & Administrative Oversight • Ensure accounting processes include multiple reviews to safeguard against fraud and errors. • Ensure all monthly reporting for organization is accurately kept and submitted on time. • Ensure the year end process is completed and submitted to CRA by the end of March in partnership with the Office Manager, Treasurer and contracted accounting firm. • Monitor and update budgets and financial reports to support effective decision-making. Grant Writing & Fundraising Oversight • Ensure all grant opportunities outlined in the ED Manual are applied for to support the operations and capital projects of the organization in partnership with the Program & Event Manager. • Ensure all reports for approved grants are submitted on-time. • Oversee all fundraising and marketing campaigns and events in partnership with the Program & Event Manager, Social Media Coordinator and Fundraising & Marketing Committee. • Ensure new grant or donation opportunities are researched and applied for throughout the year to open up new funding streams for the organization • Ensure all sponsor and donor requirements are met • Ensure all sponsorship targets are met or exceed for fundraising events and campaigns Qualifications • Proven leadership experience in the nonprofit, charitable, or community service sector. • Strong interpersonal and conflict resolution skills. • Experience managing staff and volunteers. • Knowledge of nonprofit governance and working with a Board of Directors. • Familiarity with WorkSafe NB, food banking standards, and HR policies is considered an asset. • Excellent organizational, communication, and problem-solving skills.
