We are seeking a skilled Medical Administrative Assistant to join our team. As a Medical Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our new medical office. Your primary responsibilities will include performing administrative tasks, managing patient records, and providing excellent customer service. Responsibilities / Job Duties: - Schedule and confirm medical appointments and procedures, coordinating and organizing based on priority and urgency - Receive and communicate messages for medical staff and patients - Enter and format electronically based medical reports and correspondence and prepare documents for review - Professionally handle phone, email, faxes and in-person inquiries - Enter and format electronically-based medical reports (Accuro & Jane App) and correspondence - Maintain communication with referring physicians regarding patient status / concerns - Organize patient flow to optimize clinic efficiency - Verify and collect OHIP numbers and insurance information for billing purposes - Facilitate payment for uninsured services, including collecting credit card information and sending invoices - Assist patients to complete forms, documents and case histories (as needed0 - Complete insurance and other claim forms - Initiate and maintain confidential medical files and records - Establish and maintain various internal office administrative support procedures such as document tracking and filing - Order supplies and maintain inventory Qualifications: - Secondary school diploma - Fluency in English - Experience with Accuro (EMR software) preferred but not necessary - Familiarity with the Canadian Medical System - College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years preferred but not necessary Skills & Abilities: - Quick and eager learner with the ability to work well under pressure - Thrive in a fast-paced environment (handling 20+ patients a day) while maintaining a smooth workflow - Efficient organization and prioritization of tasks based on urgency and severity - Attention to detail with the ability to identify and rectify mistakes promptly - Friendly demeanor with patients and colleagues - Patience, compassion, and discretion in dealing with patients and their families - Self-motivated with the ability to work independently - Interest in the medical field, particularly Orthopedics, Spinal Surgery, Physiatry (with EMG), Pain Doctor, Chiropractor, and knowledge of cosmetic procedures (botox, etc.) - Proficient in basic computer navigation and fast typing skills
Computer & Technology Knowledge: • MS Word • MS Excel • MS Windows • MS Outlook • Accuro Electronic Medical Record (will train if no experience)* • Jane App Software (will train if no experience)* Experience: 1-2 years experience preferred, but not necessary Job Type: Full-time, Permanent Salary: Starting at $22.00 per hour (depending on experience) Expected Hours: 40 hours per week (Monday to Friday; daytime hours) Work Location: In-Person
