Reporting to the Director, Proposal Development, the Proposal Coordinator
assists the Proposal Managers with the initiation, planning, processing, monitoring and reporting of pre-construction activities for formal bid proposals and design-build projects from concept. Typical projects include multi-unit residential buildings such as, apartment buildings, affordable housing, seniors housing, and multi-storey hotels. Average project value is $15MM with annual department volume +/- $200MM.
Duties and Responsibilities
  • The Proposal Coordinator controls and monitors design-build pre-construction activities and tasks during the proposal development through to contract award.
  • Participate in the development of proposals, request for proposal responses and presentations.
  • Prepare and facilitate request for information, clarifications and addendums.
  • Organize and conduct internal department meetings with the Project Team, including minute preparation and progress tracking. 
  • Identify and communicate task priorities and deliverables for internal and external stakeholders.
  • Monitor and control the internal project “stage gate” processes and related documentation.
  • Monitor and control project charters, project plans, project schedules, assumption and clarification logs, risk management plans and estimate summaries.
  • Assist with the management of the development process including working through zoning, SPA checklists, consultant follow-ups, permitting, reporting and liaising with the design and construction teams.
  • Review and summarize various technical documents (e.g. planning, engineering, legal) to evaluate concerns and opportunities pertaining to potential risks and opportunities.
  • Co-ordinate marketing requirements including collaborating with marketing department to ensure consistency and integrity of the brand.
  • Prepare necessary presentation materials for meetings.
  • Assist in the identification and assessment of project risks, opportunities and contingency plans.
  • Perform other related duties incidental to the work described above.

    Qualifications 
    • Diploma or degree from an accredited university or college in Business Administration, Project Management, Land Use Planning, Real Estate Development or a related field, or equivalent work experience.
    • 3+ years’ experience in a similar role. Experience in the development of multi-unit residential housing in the non-profit sector is an asset. 
    • Preference will be given to candidates with PMP certification.
    • Familiarity with real estate development proformas is considered an asset.
    • Passion for real estate and a keen interest in learning the modular development business.
    • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint and Adobe Acrobat); experience with MS Project is an asset.
    • Working knowledge of Aconex and Salesforce is an asset.
    • Excellent communication skills; written and oral.
    • Well-developed interpersonal skills. 
    • Proven analytical skills with focus on the details. 
    • Ability to assume responsibility and to interface and communicate effectively with others. 
    • Ability to take direction from multiple sources.
    • Strong organizational, time-management and decision-making skills.
    • Manage a fluctuating workload and set priorities to meet deadlines.

      Working Conditions
      • Office environment with a flexible work schedule and possible work on evenings and weekends.
      • Training will be provided, as necessary, in required safety protocols.
      • Occasional travel for off-site client meetings, manufacturing facility tours and site inspections.
